Facility Use Request Form

Your request will be processed in the order it is received and you will receive an email confirmation (please see the request policies below).
Please allow up to 4 business days (Monday-Thursday) for processing.
We'll do our best to review and coordinate the logistics of your request as soon as possible.

FACILITY REQUEST POLICY

1. Requests must be submitted via the electronic request form at least one month in advance of event.
2. Requests can only be made 3 months in advance of the event.
3. Requests will be approved in the order received falling within our hierarchy policy.
4. Groups requesting to use the Gym will be allowed two (2) hour slots per week with the exception of Saturday determined on a case by case basis.
5. The building is not available for community use on Wednesdays or Sundays.

Disclaimer

It is always our intent to make our facility available to the community as requested and reserved!
We will do our very best to accommodate your request but reservations are not 100% guaranteed. 
We will make every effort to give you as much notice as possible but please understand, as needed, we may need to cancel a portion or all of your reservation.

Please provide first and last name. The primary contact and responsible party for this event. This person will handle event-related inquiries and be the point of contact for resolving any issues that may arise.

Event Information

Start to finish, please provide ALL details of the event. Failure to provide this information will delay the review of this event.

Will you have food at your event?

i.e. every Monday, one time, etc.

We will assume that you will setup until the start of the event unless otherwise noted.

If you are requesting an ongoing event, we need to know any dates within your requested time period that you will not be using the building. Please specify those dates here.

What time will you be cleaned up and exiting the building? We will assume that clean up will begin as soon as your Event as ended as indicated above, unless otherwise noted.

Equipment Requests

Tables/chairs, TV/DVD player, podium, etc.

Please note that we are unable to provide any paper products, utensils or coffee supplies.

Tech Requests

Announcements

Announcements are for Church or ministry events only.
Timing of announcements will be decided by the Church Office.

This will be used in places like the events page.

This is a full description of your event for use in places such as the website and emails.

The Marketing Team will create a graphic, if applicable. Please provide any pictures that would be helpful in creating promoting your event (past event pictures, logo, inspiration, etc.).

    Door Access/Schedule

    For your safety and the security of the building doors will be scheduled to unlock for setup, before, and after the event as determined by a the church and provided via the confirmation.

    If people need to get in/out outside of the door unlock time, please let people in/out as needed, but please DO NOT prop the doors open.

    Please explain why you need the doors open and for what time period. We will receive your request and let you know if we are able to accommodate. If our policy works, then just write N/A or 'all good'.

    Fees

    While WCN does not charge "rental" fees to use the building, we do request payment for individual services provided for each event.
    Please contact the Church Office for associated fee information. - Fees are charged per use. -
    Groups not associated with WCN require a WCN Host and there is a fee to be paid directly to the host. - Any groups requesting the use of the Sanctuary or Auditorium require a WCN Tech (there is a fee to be paid directly to the tech). - Groups of 50 or more will be required to pay a custodial fee.
    Custodial fees are paid to WCN.
